Has your organization experienced any of the following challenges with its human resources information system (HRIS)?
- You invested significant time and money implementing a new payroll and HRIS platform but are unsure how to use its full capabilities.
- Your team is frustrated because the organization has not fully embraced the system.
- Managing the HRIS seems more time-consuming than completing processes manually.
Implementing a new system requires an investment of time, money, and resources. Although adoption and optimization may take additional effort, an effective HRIS can ultimately improve efficiency, reduce errors, and enhance the employee experience.
So how can your organization make its HRIS more effective and efficient?
Improve Data Quality – The information you receive from your HRIS is only as reliable as the data entered into it. Conduct periodic data-quality reviews to confirm that employee information is accurate and complete. Managers and other system users should also receive training on their responsibility to maintain accurate, up-to-date information.
Automate Workflows – Review your current processes to identify manual tasks that can be automated within your HRIS. Many systems offer built-in workflows that improve efficiency, enhance the employee experience, and reduce the risk of errors. Consider opportunities to streamline recruitment, onboarding, time tracking, benefits enrollment, performance management, and employee learning.
Maximize System Usage – Provide training to increase your team’s confidence and comfort using the system, followed by periodic refresher sessions. How-to guides, recorded demonstrations, and webinars can provide additional support and help users take advantage of available features.
Explore Integration Opportunities –Determine whether your HRIS can integrate with benefit carriers and other platforms used for timekeeping, recruitment, performance management, or learning management. Effective integrations reduce duplicate data entry, minimize errors, and create a more seamless experience for employees and your team.
Evaluate Available Features – Review the features and modules currently available within your HRIS. Are there underused tools that could improve the experience for employees or administrators? Would adding other modules create a more comprehensive system and eliminate the need for separate processes or platforms?
Strengthen Compliance – Many HRIS platforms include tools to help organizations stay compliant with federal and state employment requirements. Consider using your system to manage new hire reporting, Form I-9 completion and reverification, policy acknowledgments, training assignments, document retention, certification tracking, and automated compliance reminders. Leveraging these features can reduce manual tracking, improve recordkeeping, and help your organization remain audit-ready.
Align HRIS with Business Needs – As your organization evolves and grows, your HRIS may need to be updated to support its changing needs. Existing modules, workflows, and reporting metrics may no longer align with the company’s strategic goals. Regularly evaluate and refine the system to ensure it continues to support your organization effectively.
A proactive approach will ensure your investment in your HRIS system has a positive impact in both the short and long term. An optimized system can increase efficiency, strengthen data accuracy, enhance employee experience, and support better business decisions as your organization evolves.
